MEETING @ Salem Elementary

MINUTES from

Wednesday, November 15th, 2016 @ 6:30 pm

 

IN ATTENDANCE:

APPROVAL OF AGENDA

  •  Agenda for this evening’s meeting was approved.

APPROVAL OF MINUTES FROM PREVIOUS MEETING

  • Minutes from our meeting on October 12th, were approved.

CORRESPONDENCE

  •  No correspondence to report this month

TREASURER’S REPORT

  • Heidi J. indicated that the balance is currently at $3964.00 with outstanding cheques totaling $784.00. Actual balance is $3180.00

NEW BUSINESS

  • Heidi J. will submit expenses to Sam E. so we can get an updated “Summary of Expences Percentages” for our year so far. See how we stand on the 40/40/20 split.
  • HOLIDAY GIFT STORE
    • This will be Jen & Jenn’s 4th year organizing the Holiday Gift Store – THANK YOU SO MUCH!!
    • Jenn already has the volunteers
    • Has the letter to send home to inform families the beginning of December
    • May need donations but does have many already in storage from last year
    • Date is Friday, December 16th
    • Would prefer to set up in the Art Room like last year. It worked really well. Marie R.W. will check on availability
    • Set up Thursday evening as in previous years
    • Teachers will sign-up in the office for their 15 minute slot. Marie R.W. will organize this with the staff. Staff and Aides are welcome to shop at the end of the day.
  • BAKE SALE
    • Jen & Jenn have the sale covered as well.
    • No volunteers are required except lots of people willing to bake!!
    • Concerts are at 9AM and 12:15PM
    • It would be helpful for members to reach out to people they know to see if we can get far more donations than in years past.
    • Will be packaged and sold in singles, 6s and 12s.
    • NUT FREE!

FUNDING REQUESTS

  • Funding request from Grade 2 team for $200.00 to purchase Bay of Fungi mushroom kits to grow in the classroom to meet their “You and Your World” curriculum. Children will be able to start, grow and eventually eat the mushrooms.
    1. Approved, with the understanding that we make sure we fund other projects to the other grades equally since this only benefits the Grade 2.
    2. Request was approved by Becky G. and seconded by Tasha W.
  • Funding request from Grade 1 team for an undetermined amount of money to purchase supplies to have spider web game boards built for use during outdoor instruction time.
    1. Agnus K. has kindly volunteered to do the work once approval is given and supplies are purchased.
    2. Approved up to $200.00 based on cost and permission to move ahead with the project. It is undecided whether we can attach it to the wall, insert posts or make a sandwich board that could be stored inside. Approved by Heidi J and seconded by Agnus K.
    3. Brian N. will pass this info on to the Grade 1 team

CALENDAR OF EVENTS

  • Calendar of events is complete and available online. Need to change “Open Gym Night” to “Family Gym Night”

OTHER BUSINESS

  • SOLAR LIGHTING BY PIRATE SHIP
    • Didn’t fit criteria for Canada 150 Grant
    • Needs approval – Can we even have access to that area outside of school hours as there is a new sign stating that the playground is restricted to school use during school hours only
    • It was suggested to contact Michael Fox to get his opinion on the idea as wel
  • CANADA 150 GRANT
    • Submitted for a “Heritage Teaching Greenhouse”
  • FAMILY GYM NIGHT
    • First week had a great turnout – about 60 people
    • Grade 3 Gaudet won the Great Candy Exchange with over 600 pieces
    • Staff were delighted although there was some negative feedback from parents
    • Marie R.W. didn’t formalize anything but all teachers she spoke with loved it
    • Needed the note to go home a little earlier but not before Halloween!
    • Request has already been submitted to continue next year
    • Ask winning class to put together a top 10 list of what activities they’d like as a reward
  • KISS-N-DROP
    • Two quotes – $37,000 and $20,000 to pave the driveway and turnaround. That’s a lot of money!
    • Environmental concerns were raised for all the idling that happens daily at the kiss-n-drop
    • Is there a more environmentally friendly option than concrete?
    • Where is the Kiss-n-drop on the District priority list? Ms. Dixon would be able to give us this information
    • Could we consider having volunteer monitors to make it safer? Could we access grant money from the town for an additional cross guard?
    • Ms. Dixon has put in a request for logistics
    • H&S could do an online poll to see if parents see this as a priority
    • It was decided that we will go forward with the survey ?
  •  FOUR YEAR TERMS for EXECUTIVE
    • Amend the constitution so there is no longer a four year term
    • We should not limit volunteers!
    • It was suggested that after four years you begin a year-to-year basis for up to eight years
    • We need to succession plan and involve new members
    • Make individuals feel comfortable if they wanted to be considered for President
    • Mary D. volunteered to take over as Secretary – THANK YOU MARY!
  • ART ROOM SUPPLIES
    • $100.00 approved to purchase a few inexpensive craft items requested by teachers at the end of last year
    • Magnetic white board – 48×72 is $320.00
    • Go through the school to save tax and get discount on the white board
    • Ms. Dixon requested our help returning lost and found items to their rightful owners
    • H&S are willing to organize the table the day of the concert

  • FACEBOOK PAGE
    • Approved
    • Will reach more people and hopefully recruit more volunteers!
    • Becky G. volunteered to be the administrator of the SHSA facebook page – THANK YOU BECKY!
  • H&S TOQUES
    • It was suggested that we purchase some H&S toques for members to wear during Salem Under the Stars? Will discuss next meeting.
  • NEXT MEETING
    • We agreed to have our next meeting on Thursday, the 15th to combine the meeting with a work party to set up the Holiday Gift Store
